AI-Powered Compliance Documentation for ComplianceBot

The Problem

In the construction industry, compliance documentation is a massive burden. Companies must produce policies, risk assessments, method statements, COSHH assessments, and safe systems of work — all aligned with the latest laws, guidelines, and industry standards. Traditionally, this means hiring expensive compliance consultants or spending days manually drafting documents that may already be outdated by the time they're finished.

Our client saw an opportunity to automate the entire process using AI — generating tailored, industry-specific compliance documents at a fraction of the cost and time of traditional consultants.

Construction firms spend thousands per year on compliance consultants. ComplianceBot needed to deliver the same quality of documentation instantly, while staying current with evolving regulations and standards.

Context

The construction sector is heavily regulated, with strict requirements for health and safety documentation. Every job site needs up-to-date policies, risk assessments, and method statements. Getting these wrong isn't just a paperwork issue — it can lead to fines, project shutdowns, or serious safety incidents.

The client needed a platform that could handle the breadth of compliance document types while remaining accurate, legally current, and customizable to each company's specific context.

Approach

Policy Generator & Core Platform

We built the core document generation engine powered by OpenAI. Users enter their company name, industry type, and subject — and the system produces custom, compliant policies in seconds. The AI was fine-tuned to understand construction-specific regulatory frameworks and generate documents that align with current legal standards.

Key document types supported:

  • Policies and procedures
  • Risk assessments
  • Method statements
  • COSHH assessments
  • Safe systems of work

Document Interrogator & Instruct Bot

We added a powerful document interrogator — users can upload any document (PDF, DOCX, or plain text) and ask the AI to find answers, complete tender documents, or extract key information without reading the entire file.

The Instruct Bot feature allows users to give the AI specific instructions for generating or modifying documents, creating a flexible tool that adapts to each company's unique compliance needs.

Compliance documents must be legally accurate. We implemented multiple validation layers and ensured the AI references current legislation and industry standards in every generated document.

Control Center & Team Collaboration

We built a centralized Control Center where teams can manage all their generated documents — download, share, and organize reports in one place. The platform supports team collaboration, allowing multiple users within an organization to work on compliance tasks together.

Toolbox Talk & PDF Chat

We added specialized tools: Toolbox Talk generation for on-site safety briefings, and a PDF Chat feature that lets users have conversations with their uploaded documents — asking questions and getting instant, context-aware answers.

Architecture

The tech stack was chosen for speed, scalability, and serverless deployment:

  • Frontend: React.js with Chakra UI for a clean, accessible interface
  • Backend: Node.js serverless functions for secure API handling
  • Database: Supabase for user management, document storage, and team data
  • AI Layer: OpenAI GPT models for document generation and interrogation
  • Infrastructure: Serverless deployment for cost-effective scaling
